What KeyFlow is

KeyFlow is web software for licensed real-estate agents in Ontario who help people find a place to rent. The agent signs in; tenants, listing agents and landlords never need an account. Every message KeyFlow sends is about the agent's own clients and goes out in the agent's name.

How it works

  1. Enquiries come in. The agent forwards their rental email to their own KeyFlow address. KeyFlow reads each new email, writes a one-line summary and files the person and the place they asked about.
  2. A first reply goes out quickly. In the agent's own words, between 8 a.m. and 9 p.m. Toronto time, with the agent's name, brokerage and contact details.
  3. Viewings get booked. Once the tenant's agreement with the agent is recorded, the tenant picks a time from the agent's free times on a private page. KeyFlow asks the listing agent by email when needed, sends reminders, and puts each viewing in the agent's calendar.
  4. Applications stay organised. With the tenant's consent, documents are collected on the tenant's own private page and deleted automatically later. A summary goes to a listing agent only if the tenant approves it. The Agreement to Lease and the lease are tracked step by step.
  5. The agent decides. One "Today" screen shows only what needs the agent: KeyFlow never scores, ranks, approves or rejects anyone.

Got an email from KeyFlow?

It was sent for a real-estate agent you wrote to, or, if you're a listing agent, about a viewing at your own listing. KeyFlow sends no marketing and uses no mailing lists. Every automatic email says which agent and brokerage it's from and has an unsubscribe link that works at once.

Privacy

Everything KeyFlow keeps is stored in Canada. Where something is handled elsewhere, such as the AI that reads emails, the privacy page says so plainly, along with how to see, correct or delete your information.
